Reimbursement

The EHES Reference Centre will cover the travel expenses and the subsistence for three person from each EHES pilot country (EHES Joint Action). Participants for other countries have to cover their expenses by themselves.

The travel expenses are reimbursed based on following conditions:

  • Travel by air shall be reimbursed up to the maximum cost of an economy class ticket at the time of the reservation;
  • Travel by boat or rail shall be reimbursed up to the maximum cost of a first class ticket;
  • Travel by car shall be reimbursed at the rate of one first class rail ticket for the same journey and on the same day;

Subsistence expenses are reimbursed on the basis of a daily allowance as follows:

  • For journeys less than 200 km (return trip) no subsistence allowance shall be payable;
  • Daily subsistence allowance shall be payable only on receipt of a supporting document proving that the person concerned was present at the place of destination (singed attendance at the seminar);
  • Daily subsistence allowance shall take the form of a flat-rate payment to cover all subsistence expenses, including accommodation, meals, local transport, insurance and sundries;
  • Daily subsistence allowance, shall be reimbursed at the rate of 244,00€/seminar day.

How to apply the reimbursement

  • Original tickets and boarding passes have to be provided to the EHES Reference Centre;
  • In case the prize of the tickets is not shown on the ticket, the travel agency invoice has to be provided to the EHES Reference Centre;
  • Fill in the reimbursement form and bank information form and attach all the above documents to the form. Then mail the form with the attachments to:
